Stay signed in on two devices at once

You can now be signed in on two devices at the same time, like your phone and your laptop, without one signing the other out. A third device will still sign out the one you used longest ago.

Our full help guides now live on the CallidusOS website, so they are easier to search and share, with a link straight to them from Help and Support in the app.

ImprovedAssistant

The Calia help window is simpler and quicker to get real help

The Calia help window has been tidied up. Getting a real person from CallidusOS support is now right at the top, so you can reach a human in one tap without scrolling past everything else.

ImprovedPatients

Past appointments are easier to find on the patient page

The Clinical tab now shows past appointments clearly at the top, in a full-width list, instead of tucked into a narrow side column, so the visits you look up most are the first thing you see. Consent forms now come before photos on the Files and Consents tab, and the button for taking a payment uses one consistent name across the patient page.

FixedCalendar

Calendar no longer errors when picking a day and time

In some cases the calendar could drop to an "Error loading Schedule" screen while you were choosing a day and time for a booking. That is fixed. A single unexpected date value can no longer stop the whole calendar from loading, the affected item is skipped and everything else keeps working.

Invoice payment links no longer expire

The "Pay now" link in an invoice email, and any pay link you copy to share, used to stop working after 24 hours, a limit set by the card payment provider. Patients can now pay from that link at any time, it quietly refreshes the checkout each time it is opened.

Reports remembers the date range you last used

Reports used to reset to This Month every time you opened it. It now opens on the range you last had selected, so if you always look at the last 90 days, or a custom period, it is already there when you arrive.

Fixed

Pages no longer break if your browser translates them

If your web browser automatically translated the app into another language, some screens could go blank and need a refresh to come back. That is fixed. Translated pages now stay put and keep working normally.

NewSettings

Set your own VAT rate

Clinic Details now has a VAT rate box, which appears once you switch on "VAT registered". Leave it blank and we use the UK standard rate of 20%. Set it to 0 if you are registered but currently charging nothing. Whatever you put here is what new invoices use.

FixedInvoices

VAT is only ever added when you have told us you are VAT registered

The two ways of raising an invoice, taking payment at checkout and creating one by hand, could work out VAT differently for the same clinic at the same price. They now both use one setting. If you have not switched on "VAT registered" in Clinic Details, no VAT is added anywhere, and the "VAT registered" switch no longer turns itself on when you save that page. If you are VAT registered, please check the new VAT rate box before raising your next invoice.

FixedPayments

A product with no selling price can no longer be sold for nothing

If you added a product and left the selling price blank, it saved as £0.00 and could still be added to a sale or an invoice, billing the patient nothing. Products without a selling price are now shown as "No selling price set" and cannot be added until you give them one. Opening an existing product no longer quietly resets a blank price, or a zero stock level, when you save.

Cost price and selling price are now clearly labelled

The product list column headed "Price" was actually showing what you pay your supplier, and the box in the product form was called "Unit Price". They are now "Cost price" (what you pay) and "Selling price" (what the patient pays), both are on the product list, and each box explains itself. Cost price is now required, because it is what your profit figures are worked out from.

FixedCalendar

Staff Shifts is now available to every clinic

Staff Shifts was only shown to clinics with two or more team members, which hid it from single-handed clinics entirely. It is now in the menu for every owner, admin and manager. Use it to add a one-off working day or take a day out without changing your regular weekly hours.

ImprovedSettings

Side menu no longer sits on top of open panels

When a panel opened over the page, the dimmed background stopped at the left-hand menu, so the menu stayed bright and could still be clicked while the panel was open. The menu now dims with the rest of the page and waits until you close the panel.

ImprovedCommunications

Appointment reminders now recover if a send fails

If our email provider had a momentary problem at the exact moment a 24 hour reminder was due, that reminder could be missed with no second attempt. Reminders are now retried immediately, and if that does not work the system keeps trying on later checks until the reminder has actually gone out. Nobody gets a duplicate.

FixedSettings

Policies and Procedures now displays properly

The policy pack page ran to the edge of the screen and sat awkwardly against the settings menu, which made it hard to read. It now sits in the same tidy column as the rest of Settings, with the usual back link at the top.

FixedPayments

Voiding or refunding a sale now gives back account credit too

When a patient paid for part of a treatment using their membership account credit, voiding or refunding that sale returned the card payment but not the credit. The credit is now put back on the patient record at the same moment the sale is reversed, and the amount returned is recorded against the sale.

FixedCommunications

Aftercare emails now send for every clinic that has them switched on

Post-care instructions were only going out for clinics that had opened Settings and saved the Communications page at least once, even though the toggle showed as on everywhere else. Aftercare now sends as soon as it is switched on, and it keeps sending as your appointment history grows. If you would rather not send aftercare, the toggle in Settings, Communications turns it off as before.

FixedCalendar

Moved appointments now get a reminder for the new time

When an appointment was rescheduled, the patient could miss their 24 hour reminder because the system still counted the reminder sent for the original slot. Moving an appointment to a different time now re-arms the reminder. Changing only the length of an appointment leaves the existing reminder alone.

ImprovedPatients

You are told when an email to a patient does not go out

Emailing a patient from their record used to report success even when the message was rejected, and the Communications tab recorded it as sent. Failures are now shown at the time and recorded as failed on the patient file, so you can see what actually reached them.

NewConsent Forms

27 new consent forms, and you can now search by product brand

The library adds cryotherapy, thread veins, ear irrigation, vitamin and biotin injections, Saxenda, Lanluma, Ellansé, buttock augmentation, microchannelling, a device facial form, a prescription review record, and a full travel and routine vaccination set. You can also now search the library by the product you actually buy, so typing Juvederm, Azzalure or Profhilo finds the right form. The new forms are marked as awaiting clinical review until our reviewer has signed each one off.

ImprovedOnline Booking

Shorter booking links

Your booking page now also works at book.callidusos.co.uk/your-clinic-name, without the /book/ part in the middle. Existing links keep working, so links already printed or emailed are fine either way.

ImprovedReports

Reports is now one page, with the date range always on show

The tabs are gone. Pick a report from the list and it opens in place. The from and to dates sit next to the presets at all times, so a custom range is one click rather than something you have to go looking for, and the dates always show the period actually being reported on.

NewReports

Ten more reports, including practitioner performance and money owed

New reports cover revenue per practitioner, what actually sells, how patients pay, unpaid invoices by age, and discounts against repeat custom. Every report exports to CSV.

NewPatients

Import your patients from Aesthetic Nurse Software yourself

Owners and admins can now run the ANS spreadsheet import directly, without waiting for our team. Patients, their notes, your treatments and past visit history all come across. You can still hand the file to us instead if you would rather.

ImprovedPatients

Imports now show real progress

A large import used to look finished within seconds and then sit there. It now counts through your patients, services and past visits as it goes, tells you roughly how long to expect, and warns you before you close the tab.

FixedInvoices

Emailing a receipt or pay link now tells you it is working

Sending from the invoice list gave no sign anything was happening, so it was easy to click twice. It now shows progress until the email is away.

Discounts are kept when a sale becomes an invoice

A discount applied at checkout could be dropped when the invoice was raised, so the patient was billed the full amount. The discount now carries through to the invoice and to the payment link.

NewPayments

Void or refund a sale without deleting it

A sale recorded by mistake can be voided, and a sale where money genuinely moved can be refunded through Stripe. Both keep the original record and the audit trail rather than removing it, and a refunded sale stops counting towards your revenue.
